Who is responsible
VoicePower is the communication coaching practice of Sean Sarginson, based in Dubai, United Arab Emirates. VoicePower is responsible for the personal information described in this notice, except where a university agreement identifies a different role. For privacy questions or requests, email sean@voicepower.ae.
What we collect
- Account and identity: name, email, role, organisation, timezone, authentication and programme enrolment details.
- Profile and coaching: goals, challenges, upcoming conversations, reflections, survey answers, assignments and coach notes.
- Voice roleplay: microphone audio, transcripts, session messages, formative scores, assessments, feedback and provider identifiers.
- Operations: essential cookies, device and browser information, security events, usage records and diagnostic logs needed to run and protect the service.
Please do not include confidential third-party information, financial account details, health information or other sensitive personal information in a roleplay.
Why we use it
- To create and secure your account and provide the programme you joined.
- To run voice conversations and create transcripts, formative feedback and progress records.
- To let your assigned VoicePower coach support you and manage the agreed programme.
- To provide aggregate cohort reporting and evaluate pilot delivery.
- To troubleshoot, prevent misuse, meet legal obligations and improve reliability.
Legal grounds and your acceptance
Information needed to provide an account, voice roleplay and coaching is processed to deliver the service you choose to use and for VoicePower's legitimate interests in operating, securing and improving that service, subject to applicable law. Legal obligations may require limited records to be retained. Consent is used only where a genuine optional choice requires it, such as a future testimonial request.
Profile setup uses one acceptance of the Terms of Service and acknowledgement of this notice. VoicePower does not bundle marketing, testimonial or case-study permission into that acceptance. The browser asks separately for microphone permission only when voice practice starts.
Who can see programme records
You can see your own participant records. Your assigned VoicePower coach can review your profile answers, programme sessions, transcripts, scores, reflections and survey answers to provide coaching and operate the programme. Other participants and employers cannot see them.
University staff receive aggregate cohort reporting, not individual transcripts, private coaching notes or free-text answers, unless a different disclosure is agreed for a specific programme and explained to you before it applies.
Service providers and transfers
VoicePower uses managed providers for authentication and database hosting, voice conversation processing, AI assessment, email and booking. ElevenLabs processes voice conversations. These providers act under their service terms and are given only the information needed for their function. Information may be processed outside the UAE; VoicePower uses contractual and other safeguards required by applicable law. We do not sell participant information or share it with advertisers.
AI boundaries
VoicePower does not use pilot recordings, transcripts, assessments or feedback to train VoicePower models and does not authorize providers to train their models on pilot content. AI scores are formative coaching estimates, not grades, certification or evidence for admissions, hiring, promotion or disciplinary decisions. VoicePower does not make solely automated decisions with legal or similarly significant effects about participants.
Retention and deletion
Identifiable pilot records are kept until you request deletion or the scheduled 90-day post-pilot review determines they are no longer needed. A deletion request pauses future programme activity. Voice-provider records are deleted first; local transcripts, assessments, reflections, session-linked notes and free-text responses are removed after provider deletion is confirmed. VoicePower may retain minimal acceptance and deletion audit evidence and aggregate-safe outcomes without your account identity.
Your choices and rights
Subject to applicable law, you may ask for access, correction, export, restriction or deletion of your information, object to certain processing, or withdraw from a pilot. Participants can start export, withdrawal and deletion requests from the programme page and track their status. Withdrawal stops future programme activity and may mean VoicePower cannot continue providing the programme; it does not undo processing that was already lawful.
Contact us first so we can resolve a concern. You may also complain to the data protection authority that applies to your location or programme.
Age
Participant accounts are intended for people aged 18 or over. A university must agree appropriate consent and safeguarding arrangements with VoicePower before enrolling a younger participant.
Cookies and security
We use essential cookies and similar storage needed to sign users in, protect authenticated pages and preserve service state. We do not use third-party advertising cookies. VoicePower applies access controls and reasonable technical and organisational safeguards, but no online service can guarantee absolute security.
Changes
We update the date above when this notice changes. A material change to programme data use is presented as a new notice version rather than being applied silently to an earlier acceptance.
